General Terms and Conditions 

Introduction

These Terms and Conditions (“Terms”) govern all services provided by PixelStream Media (“we,” “us,” or “our”) to our clients (“you” or “the client”). By engaging our services, you agree to these Terms.

Services

PixelStream Media provides professional content creation services, including but not limited to:

• Videography & Photography
• Creative direction & branding support
• Marketing content development
• Event and promotional video production
  Each project scope will be outlined in a written proposal or agreement.

Booking & Payment

• A written agreement (via email or signed contract) is required to confirm any booking.
• A deposit or upfront payment may be required, depending on the project scope.
• Full payment is due within 14 days of final delivery, unless otherwise agreed in writing.

Cancellation Policy

We understand that events may need to be postponed or canceled. However, due to the planning, time, and resources required for our work, we ask that cancellations follow the conditions below:

Cancellation of an Event (Client-Initiated)

• If the event is canceled at least 5 business days in advance, no additional fees will be charged.
• If canceled less than 5 business days in advance, 30% of the total agreed project fee will be invoiced.

Cancellation of the Shoot (While the Event Still Proceeds)

• If the shoot is canceled less than 5 business days in advance, 50% of the total agreed project fee will be invoiced.
• In addition, any non-recoverable costs (e.g. rented gear, travel, permits) will be charged.

Note: Cancellations must be made in writing (email accepted).

Rescheduling

• We aim to be flexible. If rescheduling is required, we will do our best to accommodate, but cannot guarantee availability.
• Rescheduling within 5 business days may be subject to additional costs if already incurred.

Copyright & Ownership

All raw footage and unedited materials captured by PixelStream Media remain the intellectual property of PixelStream Media, unless otherwise agreed in writing.

Clients receive the final edited deliverables as outlined in the project scope for use in agreed platforms (e.g. web, social media, promotional use). Use beyond the agreed scope (e.g. resale, commercial licensing, third-party distribution) must be negotiated separately.

Note: Requests for raw footage may incur an additional fee and usage limitations.

Client Responsibilities

• Clients must provide accurate project details, timelines, and access as required for successful execution.
• Delays caused by the client may result in changes to delivery timelines or additional charges.

Revisions & Delivery

• Standard delivery includes one (2) round of feedback/revisions unless otherwise agreed.
• Additional revisions may incur extra fees.
• Turnaround time will be defined per project; rush delivery may be available for an additional cost.

Use of Work for Promotion

We reserve the right to showcase completed work in our portfolio (website, social media, reels, etc.), unless otherwise agreed in writing.

Liability

While we take all reasonable care in the creation of your content, PixelStream Media is not liable for:

• Delays due to circumstances beyond our control (e.g. weather, venue restrictions).
• Loss or damage caused by equipment failure, theft, or force.

Confidentiality

All personal or sensitive information shared by the client will be treated confidentially and used solely for the execution of the agreed services.

Governing Law

These Terms are governed by the laws of the Netherlands..
